Okapi Voyage – Tour Booking & Cancellation Policy

Please read this policy carefully before confirming your booking.

1. Payment Terms

Deposit Requirement

A non-refundable deposit of 30% of the total tour cost is required to secure your booking.

Full Balance Payment

The remaining 70% balance is due 70 days before departure. Failure to pay on time may result in cancellation and forfeiture of the deposit.

100% Full Payment Requirement

For tours requiring special permits (such as gorilla trekking permits), 100% full payment is required due to high demand and limited availability.

2. Cancellation by Traveler – Tour Packages

We strongly recommend travel insurance to cover unforeseen events such as illness, delays, or emergencies.

3. Cancellation by Okapi Voyage

We may cancel a tour due to:

  • Insufficient bookings
  • Safety or security concerns
  • Force majeure (weather, unrest, natural events)

If Okapi Voyage cancels the tour, you will receive:

  • ✔ A full refund of all payments made, OR
  • ✔ A transfer to another tour or date at no extra charge

4. Modifications & Rescheduling

  • 30+ days before departure: Free date changes (subject to availability)
  • Within 30 days: USD 50 administrative fee applies

Rescheduling may be limited during peak seasons.

5. No-Shows

No refunds are provided for no-shows unless in exceptional circumstances such as a medical emergency supported by official documentation.

6. Uganda Wildlife Authority (UWA) Permit Policy

All tours involving UWA-regulated activities (gorilla or chimpanzee tracking) must comply with official UWA rules.

Permit Booking Guidelines

  • Permits are highly limited and in high demand
  • Booking should be made many months in advance
  • 100% full payment is required to secure permits
  • Permits may be reserved up to 2 years in advance

7. UWA Gorilla Permit Cancellation Policy

  • Refunds depend on how far in advance UWA receives the cancellation request
  • Refunds apply only if the full permit fee has been paid
  • Permit refunds must be processed directly through UWA

8. Permit Rescheduling

Permit rescheduling is highly restricted:

  • May only be allowed 91 days before the permit date
  • A rescheduling fee of up to 25% may apply per reschedule
